Tender & Bid Administrator (12-18 Month Term)

Green Infrastructure Partners- Prairie Division "GIP" (Formally Nelson River Construction) is hiring a motivated Tender and Bid Administrator for a temporary (12-18 month coverage) out of our office out of Winnipeg, Manitoba.

Summary

The Tender & Bid Administrator is responsible for providing the completion of all necessary tender response information to final bid submission.

Duties and Responsibilities

  • Coordinate the completion of tender submissions working with multiple divisional resources
  • Provide tender documents for responses, estimates and submission
  • Review contractual terms and conditions and identify specific requirements
  • Create internal job numbers, and file and save all tender documents electronically on the network
  • Continuous monitoring to ensure all tender documents are up to date and awareness of addendums prior to bid submission
  • Identify all required certificates (bonding and insurance) to ensure compliance and provide cost of insurance and bonding to carry in bids
  • Compile and combine all necessary documentation and review required formatting to ensure compliance with the customers’ requirements
  • Building and maintaining the company’s tender submission library and storage of hard and electronic copies
  • Manage dates and timelines for submission, use multiple tools (outlook) to provide updates to entire teams.
  • Preparing and submitting tenders for submission (electronic and in writing)
  • Communication of bid results
  • Other duties as assigned

Job Requirements

  • Proficiency with many different types of software packages (broad understanding of various web and SAAS tools)
  • Excellent time management, organization, and attention to detail skills
  • Must be able to manage multiple priorities
  • Strong communication skills
  • Strive in a fast-paced environment, working mostly independently and meeting strict deadlines
  • Strong ability to protect confidential information
  • Having worked in the construction industry would be a definite asset. Alternatively, any industry where the individual was part of a Request for Proposal (RFP) process
  • Completion of an Office Administrative Assistant or Project Coordinator program is ideal.
  • Five (5) years of office experience with increasing levels of responsibility
